Privacy Policy

This Privacy Policy explains how Adcamai.com ("we", "us", "our"), the operator of the Motus Events platform at motusevents.app ("Service"), collects, uses, shares and protects personal information. It is intended to be read together with our Terms & Conditions, and in particular Clause 10 (Communications & Marketing Consent) of those Terms, which forms part of the legal basis on which we send you marketing and sponsor messages.

We are committed to processing personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA) of South Africa, the Electronic Communications and Transactions Act, 2002 (ECT Act), and, where applicable, the UK and EU General Data Protection Regulation (GDPR).

1. Who we are

The responsible party / data controller is Adcamai.com, operator of the Golf Day Pro Service. You can contact us at info@motusevents.app for any privacy matter, including to exercise your rights or to opt out of marketing or sponsor communications.

2. Information we collect

• Account data: name, email address, password (hashed), profile photo, organisation, role and authentication identifiers.
• Event data: events, charities, sponsors, schedules, prizes, invitations, RSVPs and related content you create or respond to.
• Attendee data: information submitted through RSVP forms by or on behalf of attendees, such as name, email, company, mobile number, dietary requirements, handicap and team allocations.
• Communication data: emails, in-app messages, support requests, your communications preferences (including opt-in/opt-out status for marketing and sponsor messages) and delivery, open and bounce signals from email providers.
• Technical data: IP address, device and browser information, approximate location derived from IP, pages visited, referring URLs, and basic product analytics.
• Cookies and similar technologies: as described in our Cookies notice.

3. How we use information

• To provide, operate, secure and improve the Service.
• To send service messages: account, security, billing, RSVP, event reminders, password resets, invitations and similar transactional notifications. These are essential to the Service and are sent regardless of marketing preferences.
• To send product updates about new features, changes to the Service and operational announcements.
• To send marketing communications about Motus Events features, tips, case studies and occasional promotions, where you have consented under Clause 10 of the Terms.
• To send sponsor messages from AdcamAI and approved sponsors of Motus Events, where you have consented under Clause 10 of the Terms.
• To prevent abuse, fraud and security threats, and to enforce our Terms.
• To comply with legal and regulatory obligations.

4. Legal basis for processing

We rely on the following legal bases under POPIA and, where applicable, GDPR:

• Performance of a contract with you (providing the Service and sending service messages).
• Consent (for marketing emails, product updates beyond essential service messages, sponsor messages from AdcamAI and approved sponsors, and any optional cookies). Consent is obtained when you accept our Terms & Conditions and can be withdrawn at any time.
• Legitimate interests (security, fraud prevention, basic product analytics, and protecting our rights), balanced against your interests and rights.
• Legal obligation (for example tax, accounting and lawful requests by competent authorities).

5. Marketing and sponsor communications

By accepting our Terms & Conditions, you give us consent to send you, by email, in-app notification and (where you have provided a number) SMS or WhatsApp:

• service messages and operational notifications;
• product updates from Motus Events;
• marketing communications and occasional promotions about the Service; and
• sponsor messages from AdcamAI and approved sponsors of the Service.

You may opt out of marketing and sponsor messages at any time, free of charge, by:

• using the Communications tab in your account preferences;
• clicking the unsubscribe link in any marketing or sponsor email; or
• writing to info@motusevents.app.

These rights are recognised in section 69 of POPIA and section 45 of the ECT Act. Opting out of marketing or sponsor messages will not affect essential service messages, which we must continue to send for the Service to function.

6. How we share information

We do not sell personal information. We share it only as set out below:

• Sub-processors needed to run the Service (acting as operators on our behalf): cloud hosting, database, authentication, email delivery (including transactional and marketing email providers), file storage, monitoring, error reporting, analytics, customer support and payment partners. Each is bound by confidentiality and data-protection terms.
• Event organisers and their organisation members: where you submit data to a specific event (for example by RSVP'ing), the relevant event organiser receives that data to run the event.
• AdcamAI and approved sponsors: we do nottransfer your contact details to AdcamAI or any sponsor for their independent use. Sponsor messages are sent by us, on behalf of AdcamAI or the approved sponsor, using our own systems. Sponsors only receive aggregated or de-identified statistics (for example total opens, clicks, RSVPs), unless you separately and expressly choose to share your details with a particular sponsor (for example by clicking through and submitting a sponsor form, in which case that sponsor becomes a separate responsible party).
• Legal, safety and compliance: where required by law, court order, regulator or to protect rights, safety or property.
• Business transfers: in connection with a merger, acquisition or sale of assets, with appropriate safeguards.

7. International transfers

We are based in South Africa and may use sub-processors located in other jurisdictions, including the European Union, the United Kingdom and the United States. Where personal information is transferred outside South Africa, we rely on the mechanisms permitted by section 72 of POPIA (and, where applicable, appropriate GDPR transfer mechanisms such as Standard Contractual Clauses).

8. Retention

We retain personal information for as long as your account is active and for a reasonable period afterwards to meet legal, accounting, dispute-resolution and operational requirements. Communication preferences and unsubscribe records are kept for as long as necessary to honour your choices. Backups are deleted on a rolling schedule.

9. Your rights

Subject to applicable law, you have the right to: access your personal information; request correction or deletion; object to or restrict processing; withdraw consent at any time (without affecting prior lawful processing); request a copy of your data in a portable format; and lodge a complaint with a supervisory authority.

10. Security

We use industry-standard measures including encryption in transit, hashed credentials, role-based access control and row-level security on our database. No system is perfectly secure; please use a strong, unique password and tell us immediately if you suspect unauthorised access.

11. Children

The Service is not directed to children under 18 and we do not knowingly collect personal information from them. Attendee data submitted by an event organiser must comply with applicable law, including obtaining any required parental consent.

13. Changes

We may update this Policy from time to time. Material changes will be notified through the Service or by email to your registered address.
